Student Exchange
 Pre-Departure
(a) Pre-Departure Briefing and Workshop on Cultural Sensitivity: Students are required to attend a "Pre-Departure Briefing and Workshop on Cultural Sensitivity", jointly organised by the International Office and the Office of Student Affairs. The programme will prepare students for cross-cultural adjustment and immersion in another culture.
(b) Make a final confirmation with your academic adviser and/or the student exchange programme coordinator at your Department regarding your study plan at the host institution.
(c) Respond immediately to any emails from the host university and copy your replies to the International Office at exchange@hkbu.edu.hk for reference.
(d) Take the letter of acceptance/admission from the host university to the International Office for review and making copies for record purposes.
(e) Read and sign the offer letter from HKBU and return the signed copy to the International Office.
(f) Complete and submit the application for HKBU Sponsorships (Cash Advance) / University Low-Interest Loan (if necessary) to the Academic Registry.
(g) Apply for Travel Document (if applicable) and/or Student Visa (if required)
i/ Students should apply for a travel document for travel outside Hong Kong (if you do not already possess one).
ii/ A student visa is normally required for studies outside of Hong Kong. Students should consult the relevant Consulate General for visa application matters.
(h) Accommodation
Students should reserve the accommodation before departure and are strongly advised to obtain the detailed address, phone and /or fax numbers for yourself and your family (for reference).
(i) Travel Arrangements
Students should check the semester dates of the host institution, plan ahead the required arrival date at the host institution and make flight / train reservations as early as possible. Please do NOT issue the tickets or pay the full fee for your tickets if your visa application has not been approved.
(j) Make Provisions for Adequate Travel/Medical Insurance
i/ Students are strongly advised to have adequate travel and medical insurance covering the dates of the exchange programmes.
ii/ HKBU students are covered by the HKBU insurance policy if they are away from campus for one semester only (less than 6 months). If the duration of the exchange programme is for a full academic year, students should purchase additional insurance coverage. iii/ Some countries require students to have proof of insurance before a student visa can be issued.
iv/ Some host institutions require exchange students to purchase insurance from the host institution.
(k) Payment of Fees
i/ Accommodation, all travel and subsistence costs are the responsibility of the participating students. Students must make sure that they have adequate funds for transportation to and from the host university and for subsistence during the exchange programmes.
ii/ Please settle the payment of HKBU tuition fee before departure. Students may need to prepare an authorization letter to authorize your family members or friends to handle payments or academic matters while studying abroad.
(l) Clothing
i/ Students should check the weather at the host institution so as to bring along suitable clothing.


 During the Exchange Programme
(a) Complete the early registration as arranged by the Academic Registry during the semester abroad.
(b) Check your email account from time to time for important information from HKBU.
(c) Since students may apply for transfer of units upon return from the exchange programme, they should seek advice from their departments on their study plans at the host institutions.
(d) As students may be exposed to different cultures and environment when studying abroad, it is unavoidable that they will face various types of challenges. Students are encouraged to seek counselors for advice if necessary. Students can contact the International Office at the host university for any assistance. Of course, students are always welcome to contact the HKBU International Office and we will try to help you in whatever way we can.
